This guide explains how to use the EventWaivers mobile check-in tool for efficient participant verification at your events.

Overview

The mobile check-in tool is designed for event staff to quickly verify participants' waiver status using any mobile device. It's optimized for fast-paced environments where you need to process many participants efficiently.

Step-by-step

  1. Access the mobile check-in tool

    There are two ways to access the check-in tool:

    Option 1: Direct from your portal

    • Log in to your EventWaivers account
    • Navigate to your portal
    • Click the "Check-in" tab

    Option 2: Using the check-in URL

    • Open the unique check-in URL for your portal: https://eventwaivers.com/p/{your-portal-slug}/check-in
    • Log in with your EventWaivers credentials if prompted
  2. Optimize your device setup

    For the best experience:

    • Enable camera permissions when prompted
    • Consider using a phone stand or holder for extended use
    • Connect to Wi-Fi if available to reduce data usage
  3. Choose your check-in method

    The tool offers multiple ways to verify participants:

    • QR Code Scan: Fastest method, requires participant to have their QR code
    • Manual Search: Look up by name or email
    • Barcode Scan: Scan ID cards or printed barcodes (if configured)

  4. Scanning QR codes

    To scan a QR code:

    • Tap the "Scan QR" button
    • Point your camera at the participant's QR code
    • Hold steady until the code is recognized
    • View the verification results immediately
  5. Manual participant lookup

    If a participant doesn't have their QR code:

    • Tap the "Manual Search" button
    • Enter their name or email in the search field
    • Select the correct participant from the results
    • View their waiver status

  6. Understanding verification statuses

    The system uses a color-coded system for quick recognition:

    • Green: All waivers signed and verified Green
    • Yellow: Partial completion (some waivers signed) Yellow
    • Red: No waivers signed or participant not found Red

    Each status includes specific details about which waivers are signed or missing.

Notes

  • The check-in tool works in offline mode if internet connectivity is lost
  • Data will sync automatically when connection is restored
  • Multiple staff members can use the tool simultaneously without conflicts
  • Check-in history is recorded for audit purposes
  • If the video does not start automatically when loading the page, try refreshing the page.
